Proposal Scoping Form

One Heart McKinney | Digital Presence and CRM

This takes about ten minutes. It gives us the handful of details we need to price your proposal accurately instead of guessing.

This is not the build questionnaire. We are not asking for logins, brand files, or operational detail yet. Once you approve the proposal, we send a full build intake and collect all of that then.

Sections 3 and 4 are what set your numbers. Everything else is quick.

SECTION 01   WHO WE ARE WORKING WITH

Name and email for anyone on the board or leadership who needs to see it. Include Mark Dennison if he is part of this decision.

SECTION 02   WHAT WE ARE WORKING WITH

These few answers change the scope, so they change the price.

Your website is included by default. The number you select here affects the quote. Product name and vendor. We are not replacing it. We need to know what we are connecting to. This tells us how to sequence the work around your renewal. Clients, partners, funders, volunteers, and email subscribers combined. An estimate is fine. This drives migration effort. Just the names, so we can show you what consolidates. Example: Mailchimp, Dropbox, Zoom.

SECTION 03   WHICH STAGES TO PRICE

We build in three stages so you can fund it in stages. Tell us how to price each one.

Stage One: Digital Presence and CRM Foundation

Recommended starting point

Website rebuild, your selected platforms rebuilt, intake and donate paths, copy written for consistency and compliance, brand storyboard, SOP development, professional photography and videography, outreach campaign and ideal funding partner profile, CRM build and access.

Stage Two: Systems Integration and Automation

Builds on Stage One

Connecting the CRM to your case management platform, evergreen volunteer onboarding courses, private communities for navigators and partners, text message workflows, campaign pages for individual events, an internal answer library for navigators, and reporting dashboards.

Stage Three: Custom Build

Separate discovery and scope

A custom system letting partner agencies across Collin County see a client's history across organizations in one place. This carries its own discovery, scope, and timeline.

SECTION 04   WHAT YOU WANT US TO RUN EACH MONTH

This sets your monthly number. For each one, tell us who owns it after launch. Be honest about capacity. Anything your team keeps but cannot sustain becomes the thing that quietly stops working.

SECTION 05   TIMING, BUDGET, AND DECISION

Groundbreaking, opening, the incubator launch, grant deadlines. Even rough windows help us sequence the work. Executive director, full board vote, finance committee, or another path. General operating, a designated grant, a technology gift, or a funder still to be secured. If someone is sourcing it, tell us what they need from us to make the case. If you do not have a number yet, write "present options" and we will price every stage so you can choose.
